Capture

Record spend in seconds, not evenings.

The hard part of expense tracking is doing it at all. OneBooks makes capture fast enough that it actually happens.

  • Supplier bills — item-level detail, discounts, Sales tax and due dates, recorded in one form.
  • Quick expenses — day-to-day cash and bank spending categorized against your own accounts.
  • Receipt photos — upload a receipt in the AI assistant; it reads date, supplier, lines and Sales tax exactly as printed, and you confirm.
  • Right account, every line — route a bill line to an asset or expense account of your choice, so reports mean something.
  • Import your history — bring past vouchers and opening supplier balances from your previous system.
Control

Owe on your terms, not by surprise.

Knowing what's due — and when — is the difference between managing cash and being managed by it.

  • Payables aging — every supplier balance, aged and current, straight from the ledger.
  • Partial supplier payments — pay what you pay; one payment can settle several bills at once.
  • Due-date visibility — upcoming and overdue bills surface in your notifications before they bite.
  • Debit notes — purchase returns unwind cost and Sales tax cleanly when goods go back.
  • Reverse charge handled — self-assessed Sales tax on applicable purchases posts correctly, automatically.

Purchases & expenses — common questions

What's the difference between an expense and a purchase bill?

Expenses are for spend settled immediately from cash or bank. Anything bought on credit — pay-later terms, supplier accounts — is a purchase bill, which tracks the payable until you settle it. OneBooks does both.

Can I photograph receipts instead of typing them?

Yes — upload the photo in the AI assistant. It extracts the supplier, date, lines and Sales tax exactly as printed and shows you a draft purchase; one tap posts it through the same accounting engine as manual entry.

How do purchase returns work?

Record a debit note against the bill: cost and Sales tax reverse correctly, the payable adjusts, and any refund is an explicit separate step — so the paper trail stays complete.

Can I route a bill line to a specific account?

Yes — each purchase line can post to the asset or expense account you choose, so equipment doesn't get buried in cost of goods and your reports stay meaningful.
